Homeschool Record-Keeping in Queensland: What to Save During the Year

The parents who find reporting easy aren't the most organised — they're the ones who saved a little as they went. You don't need a spreadsheet or a fancy system. You need a habit and a folder. Here's the low-effort version.

The one habit that does most of the work

Photograph work as it happens, and let your phone date it. A page of maths, a story, a science experiment, a Lego build, a baking session — a quick photo captures the evidence and the date automatically. At report time you're choosing from a full camera roll instead of hunting through the recycling bin for that one good worksheet.

What's worth saving

• Dated samples across learning areas — especially English and Maths, since Queensland wants evidence in those plus a third area. Aim to capture a few pieces each term.
• Before-and-after pairs. The same kind of task early and late in the year is the single most powerful piece of evidence, because it shows progress instead of just claiming it.
• The messy, real stuff.Excursions, library hauls, documentaries, projects, everyday life maths. Learning that doesn't look like “school” still counts.
• A rough running note. One line a week — what you covered, what clicked, what was hard — turns into your report narrative with almost no extra effort.

How to organise it (keep it stupidly simple)

One folder per child, with a sub-folder per term — physical, in your photos app, or in cloud storage, whatever you'll actually use. The goal isn't a beautiful archive; it's that when reporting opens, everything is in one place and already dated.

Why this makes reporting painless

When your reporting invitation arrives in the ninth month of your registration, the hard part — gathering dated evidence of progress — is already done. Writing the report becomes a matter of selecting and describing, not reconstructing a whole year from memory.
